1. Who we are

DentNode Technologies Private Limited (“DentNode”, “we”, “us”) is a company incorporated under the Companies Act 2013, with its registered office at D-10, Ram Nagar, Jaipur, Rajasthan 302016, India. We operate the DentNode platform — a dental lab management SaaS product — accessible at app.dentnode.com and related properties.

This Privacy Policy governs the collection, use, and protection of personal information we collect from users of the DentNode platform in accordance with the Information Technology Act, 2000 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 (“SPDI Rules”).

2. Information we collect

Account information: Name, email address, mobile number, business name, GSTIN, and address when you register a lab or clinic account.

Case data: Patient case information submitted to the platform, including prescription details, scan files, and clinical notes. This is uploaded by dental labs and clinics and is stored on their behalf.

Payment information: Invoice amounts and UPI payment status. We do not store card numbers or full bank account details. Payments are processed by Razorpay; their privacy policy applies to payment data.

Usage data: Log data including IP address, browser type, pages visited, and timestamps — collected automatically for security and product improvement.

Communications: WhatsApp messages sent through the DentNode platform, support emails, and demo booking requests.

3. How we use your information

To provide and operate the DentNode platform
To generate GST-compliant invoices on your behalf
To send case status updates via WhatsApp Business API
To process UPI payments through Razorpay
To provide customer support and onboarding assistance
To improve the platform, including training LabyAI on anonymised scan quality patterns
To comply with applicable laws including GST filings and court orders

We do not sell your data to third parties. We do not use patient or lab data for advertising.

4. Data storage and security

All data is stored on servers located in India (AWS Mumbai region). We implement industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest, role-based access controls, and regular security audits.

In the event of a data breach that affects your sensitive personal data, we will notify you within 72 hours of becoming aware of the breach, as required under applicable Indian law.

5. Data retention and deletion

We retain your data for the duration of your subscription and for 30 days after cancellation, during which you can export all data free of charge. After 30 days, data is permanently deleted from our systems.

Invoice data may be retained for up to 7 years to comply with GST record-keeping requirements under the CGST Act, 2017.

6. Sharing with third parties

We share data only with the following service providers, each bound by data processing agreements:

Razorpay — payment processing
Meta (WhatsApp Business API) — message delivery
Amazon Web Services — cloud infrastructure (India region)
Resend / Sendinblue — transactional email

7. Your rights

Under the SPDI Rules, you have the right to:

Access the personal information we hold about you
Correct inaccurate information
Withdraw consent for processing (subject to contractual obligations)
Export your data in machine-readable format
Request deletion of your account and data

9. Changes to this policy

We may update this policy as required by law or as our practices change. We will notify registered users via email at least 14 days before material changes take effect.
